Job Functions, Duties, Responsibilities and Position Qualifications:


Accounts Payable Administrative Assistant position is a hybrid position to support AP duties as well as general administrative duties for a small clinical testing laboratory. Supports members of the Finance department and ensures that the financial transactions meet all Company policies, procedures, and controls. Must be able to answer phone professionally and efficiently, direct calls quickly and correctly, take accurate messages, distribute mail, greet guests and maintain a professional and welcoming environment in the front lobby. This position requires a high level of independence and professionalism. Commitment to working the hours of 8A – 5P.

ESSENTIAL FUNCTIONS

Accounts Payable duties:
Gather new Vendor information.

Receive invoices and properly code to departments and expense codes.

Data input accounts payable into the computerized accounts payable system via scanning and/or manual entry.

Upload Accounts Payable files to Great Plains.

Void checks in Great Plains as needed.

Assist with weekly check runs and ensuring that payments properly sent to vendors.

Ability to sort and file both electronic and paper documents.

Assist with monthly close procedures and processes.

Ability to maintain a high level of accuracy in preparing and entering financial information.

Administrative duties:
Maintaining professional environment at the front desk both through communication and appearance, keeping the front desk, lobby, conference.

Provide administrative and production support to all Admin staff

Serve as Office contact for all corporate departments such as Human Resources, Accounts Payable, and other campus departments

Distribute USPS/interoffice mail (open and date stamp all incoming invoices)

Distribute Fed Ex/UPS deliveries and prepare outgoing FedEx shipments/labels

Maintains accurate inventory of office & Break Room supplies.

Orders supplies and coordinates with vendors for deliveries.

Greets and assists with incoming guests for Sonic Reference Laboratory

Schedules meetings rooms, events, and travel for leadership, when necessary. Ensures supported staff is prepared with all materials and information for meeting, events, and travel.

General Duties:
Ability to maintain confidentiality concerning Company’s financial policies and procedures.

Professionally represent the company and display positive interaction with all customers, vendors, and co-workers

POSITION REQUIREMENTS

EDUCATION AND EXPERIENCE

At least 2 years of experience with computers, including in-depth internet knowledge and working proficiency in Word, Excel, Power Point, internet and ATS or CRM database applications

0-2 years previous work experience in accounts payable, accounts receivable, and/or general ledger work.

High School Diploma / GED

Excellent customer service

Superior oral and written communication

Healthcare-related experience a plus

ADDITIONAL ELIGIBILITY QUALIFICATIONS

Strong knowledge of Word, Excel, and Outlook

High level of interpersonal skills to handle sensitive and confidential situations and documentation

Ability to prioritize and plan work activities, use time efficiently, manage competing demands and develop realistic action plans

Demonstrated accuracy and thoroughness of work to ensure quality.

Physical demands : While performing the duties of this job, the employee is regularly required to talk and hear. This position will require long periods of sitting; however, walking between adjacent buildings will also be necessary. This position requires the ability to occasionally lift office products and supplies, up to 20 pounds.

Work environment : This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
