What You Will Do
Provide administrative support to Kerrobert office
Provide support to Shared Services, including support to the Western Canadian Warehouse.
Provide data entry support to: The processing of invoices in the Markview system, creation of Work Orders, material requisitions and revisions under the Supply Chain Management, SharePoint Site and the entering of information into the (SIMS) Stakeholder Information Management System
Processing of expense reports for self and others as requested in iExpense (Oracle Financial)
Assist in maintaining accuracy of the Regional SharePoint site
Participate in and complete all required Training in the TRAC and ELMS systems.
Conduct and record a minimum of four (4) Safety Observations in EnCompass
Creation and distribution of the weekly Regional On Call Schedule
Prompt distribution of On Call Revisions throughout each week
Distribute the weekly Public Affairs On Call Schedule
Entry of the monthly Contractor Hours under Safety on the Regional SharePoint Site
Entry of the monthly Fleet Mileage on the Regional SharePoint Site
Ensure competitive pricing for regional office purchases including the monitoring and purchasing of general office supplies through Grand and Toy.
Support local recycling programs
Responsible for the distribution of incoming mail and the preparation of outgoing mail via Canada Post or Courier
Plan, organize and facilitate meals as required for meetings and training courses
Provide assistance with flight and accommodation arrangements
Record and transcribe meetings minutes when requested
Provide assistance when requested to the other Admin staff in the Region
Support the Onboarding of new personnel and support local personnel with HR related inquiries
Provide MyService support to Office staff
Ordering of brochures, documents, forms, etc. through the Enbridge Print Shop – TRAC system
Available as a liaison for Enbridge Edmonton and Calgary for distributing employee informational handouts, organizing meetings, various functions, volunteer activities, etc.
Who You Are
Grade 12 education with three – five years of administrative or secretarial experience.
Experience with computers in Microsoft applications such as Word, Excel, PowerPoint is essential. Experience in Microsoft Office, Oracle, and SharePoint, MS Teams is an asset.
Typically field office environment
Site visit to offices within region (only 10% of the time).
Expected to work independently, including management of time, approach to technical problems, and work priorities.
