Position Status: Permanent- Full time

Under the general manager’s leadership, the incumbent assists the operations team with all administrative tasks aimed at maintaining day-to-day operations. This person also ensures that the procedures in place are properly enforced.
Collaborate with the service help desks to obtain work orders for the field team;
Organize and plan meetings, update meeting notes and send out to all meeting participants;
Write and distribute email, correspondence memos, letters, faxes and forms to various parties;
Assist in the preparation of regularly scheduled reports that must meet contractual KPI’s;
Work in an environment that utilizes a secure document storage procedure and process;
Support in the update requirement of operational procedures, plans and process updates;
Manage the administrative tools required for several locations;
Maintain contact lists and email distribution list for the project;
Submit and reconcile expense reports for management team;
Manage site access process for the project locations;
Act as the point of contact for internal and external clients;
Liaise with executive and senior administrative assistants to handle requests and queries from senior managers.
Education: an administration Certificate is required;
Minimum of 2 years of relevant experience in the administrative field;
Knowledge of technical operations management of buildings or projects, an asset;
Proficiency with the Office suite (especially Excel and MS Project);
Secret security clearance;
Ability to communicate effectively (oral and written) in English, French an asset;
Driving license .

Ability to demonstrate discretion and confidentiality.
