Our downtown Toronto office (Wellington) is currently seeking a dynamic Administrative Services Coordinator to become part of a dynamic transportation group specializing in the planning and design of major provincial highways, regional and municipal arterial roads, and related local transportation projects.
This opportunity exists for an individual with strong multi-tasking, interpersonal, organizational and communication skills.
Your Key Responsibilities
Preparing and processing correspondence, proposals, presentations, spreadsheets and reports;
Assisting with planning, scheduling, and organizing staff and business development events;
Assisting with project management and business unit responsibilities (budget management, invoicing, project correspondence, reports, project schedules, etc.);
Liaising with staff members and providing assistance as required;
Note taking and production of minutes of meetings;
Entering, maintaining, and organizing electronic records and hard copy files;
Ensuring awareness of and supporting management in adherence to corporate policies and procedures;
Processing expense reports, orders and timecards;
Development of relationships with other supporting departments such as IT, Facilities and Office Management to boost operational efficiency;
Many other duties as assigned.
Your Capabilities and Credentials
Ability to work effectively under pressure in a fast-paced environment
Proficiency in the use of MS Office applications (specifically Word, Excel, Power Point and Outlook)
Detail-oriented and highly organized individual with the ability to learn and adapt to computer programs and processes quickly
Excellent written and oral communication skills
Have a positive attitude and enjoy working in a team-based environment
Able to evaluate needs and make effective decisions with minimal guidance
Exceptional time management and multi-tasking skills with the ability to prioritize to meet tight deadlines
Familiarity with MS Project would also be an asset
Education and Experience
High School Diploma with minimum of 2-3 years of administrative experience; or degree/diploma/certificate or equivalent in related field; or equivalent combination of education and experience.
Typical office environment working with computers and remaining sedentary for long periods of time.
