Our Administrative Assistant performs standard and routine administrative support for the maintenance department and the Facility Manager. Our Administrative Assistant must perform a diverse range of general office duties which requires making sound decision on the application of established policies and procedures. Organizes office operations and performs administrative support work requiring application of varied work methods and procedures. Inputs data and coordinates the maintenance work order system (MP2), coordinates daily work orders and preventative maintenance issues. Maintains departmental logs, reports, inspections and record keeping and organizes office operations and procedures for an efficient workflow.



High school diploma or equivalent required.


Minimum of three (3) years’ experience as a secretary or administrative assistant.

Familiarization with general maintenance principles.

Ability to handle a variety of simple tasks that are routine in nature, while keeping work flowing in an orderly manner.

Must have the ability to pass a background check and drug screen.

Ability to express thoughts logically, in English, in both written and verbal form.

Ability to use computers and be proficient in the typical software used such as Outlook, Excel, PowerPoint and various database systems.

Performs administrative duties to include typing material from handwritten notes, dictated information, voice mail and writing material ensuring format, grammar, spelling and punctuation are correct.

Working within and maintaining the MP2 work order system.

Responsible for keeping calendars and scheduling appointments.

Responsible for the department’s mail and messages.

Maintaining historical documentation of department and facility to include but not limited to testing, inspections and maintenance.

Populate purchase order forms and securing vender quotations.

Must be able to apply principles of critical thinking to a variety of practical and emergent situations and accurately follow standardized procedures that may call for deviations.

Must be able to apply sound judgment beyond a specific set of instructions and apply knowledge to different factual situations.

Must be alert at all times; pay close attention to details.

Must be able to work under stress on a regular or continuous basis.

Perform other duties as assigned.
