Administrative Chief of Staff

Our client, an established and highly respected private equity firm, is currently seeking a polished, proactive, and experienced full-timeAdministrative Chief of Staff. This individual will provide executive administrative and business support to increase the bandwidth and velocity of the Founder and allow them to concentrate their time, effort, and priorities on strategic initiatives.

Responsibilities

Provides high-level administrative support to the Founder, acting in a manner conforming to strict confidentiality.

Coordinates all logistics concerning Founder daily schedule, reviewing to make sure calendar entries are complete and accurate, and preparing daily calendar of activities and meetings.

Ensures constant flow of communication with the Founder regarding upcoming events and meeting requests, and proactively manages recurring meetings with various parties.

Daily, ensures materials and/or background information for calls and meeting are in the Founder possession.

Conducts weekly overview with the Founder, of schedule for the upcoming four weeks – scheduled calls, events, and meetings – ensuring the Founder near-term priorities and goals are met and rearranging schedule as needed.

Manages the Founder e-mail, taking responsibility to ensure that appropriate and timely responses are made to all inquiries and requests, drafting responses and/or responding on behalf of the Founder and alerting him to important emails when they arrive.

Assists with writing and editing letters, emails, and other forms of correspondence on behalf of the Founder.

Acts as the liaison between the Founder and team members, clients, and stakeholders to ensure consistent communication and ensuring involvement or decision-making at the proper time.

Oversees strategic business initiatives from development through successful execution under the guidance of leadership team.

Researches and recommends procedures to improve current administrative and operational processes for optimized efficiency and productivity.

Builds strong relationships with employees and supports progress on organizational goals, noting any issues or successes.

Researches, prioritizes, and follows up on issues and concerns coming into the Founder office and determines the appropriate course of action. Provides an immediate referral or response.

Works closely and effectively with the Founder to keep them well informed of upcoming commitments as appropriate.

Manages deadlines effectively and with a sense of urgency.

Delivers critical communication with a hands-on approach. Drafts acknowledgment letters, personal correspondence, and other tasks that facilitate the Founder ability to lead the company effectively.

Prioritizes conflicting needs, handle matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.

Coordinates and follow up on special projects as assigned.

Minimum Qualifications
