Working to the Chief Information Officer, the role of the Executive Assistant is varied and covers a full range of executive and administrative support services. Its key responsibility is to provide high-level administrative support and coordinate the section’s activities in relation to various reports, accounts and budget requirements. This role requires an individual who is able to prioritise, filter and summarise information and is comfortable working with a variety of technologies to coordinate across a distributed team. The role would suit an ambitious administrator who is keen to increase knowledge and decision-making capability.
Your duties will include:
Manage the day-to-day operations of the office of the Chief Information Officer, including telephone, calendar, travel, video conference/physical meetings and e-mail.
Liaise with staff across the Court to coordinate section activities, accounts and budget.
Plan and coordinate section meetings including preparing correspondences, collating and disseminating agenda and papers, arranging travel, taking minutes, and monitoring follow-up actions.
Assist the Chief Information Officer in preparing PowerPoint presentations for meetings involving the IT Leadership Team, Executive Management Team, Judges and staff.
Investigate and manage expense reporting of Information Technology.
To provide miscellaneous administrative support to the Chief Information Officer and other Court staff in the performance and recording of special project work.
Undertake minor research tasks, and prepare routine correspondence, response and reports.
Maintain, review and update general administrative systems and procedures.
Reporting and Compliance
Coordinate the preparation and printing of monthly reports and weekly agendas and disseminate copies to the relevant stakeholders.
Assist in the preparation of the IT Plan and Budget summaries.
Strong experience in providing high level administrative support services, for a distributed team, including technologies such as email, video conference, shared calendars, travel booking and finance systems.
Strong organisational skills, initiative and flexibility to manage workload and perform under pressure. Ability to take initiative and be adaptable to changing work priorities and requirements.
Demonstrated ability to build and maintain positive and productive working relationships with a variety of stakeholders, including senior staff.
Well-developed oral and written communication skills, including proven ability to communicate effectively with stakeholders at all levels in-person and remotely and prepare professional business documents.
Proven ability to exercise good judgment and common sense, and maintain high-level professionalism and discretion in handling confidential information.
