Our Group Savings and Retirement (GRS) business is based on a Win/Grow/Retain strategy. The Inside Sales Advice and Retention teams (Transition Solutions, PlanRight etc) are a very important unit dedicated to achieving the results supporting the GRS strategy. This position is responsible for supporting the sales teams mentioned above by assisting with administrative duties and tasks that an agent would support without the responsibility of providing advice, processing of securities transactions or direction to customers. The Coordinator will work closely with other Customer Experience teams as they manage activities related to their assigned work, while ensuring the agent is kept in the loop.
Manage existing processes for tracking business and handling paperwork
Manage general inboxes and voicemails
Accountable for timely follow ups with other financial institutions on transfer-in related activity
Maintain integrity of notes and tools used to track work activity
Perform quality check for member requests while reporting issues back to the sales agents for immediate resolution
Monitor customer financial transactions to ensure completion in order to help achieve agents’ sales targets
Manage Dataphile (MLI Securities transactions/debit card reports, etc.)
Manage DSC information on behalf of PlanRight advisors
Identify and implement suggestions to systematize and improve process/workflows
Responsible to ensure weekly member communications are managed accurately and on time with external provider
Responsible for assignment and tracking of leads in an equitable manner amongst all sales agents
Process individual leads to Salesforce for PlanRight advisors
Act as governance on requests for lead requests (reassignments, deletions, activation etc)
Keep current on administrative processes, product knowledge and legislation as it relates to activities handled by position
Education, Experience & Skills:
Post-Secondary education in business or related discipline
Experience in an advisory administrative role and/or retail product experience in financial services and/or GRS operations environment
Proficiency in using multiple technology platforms – MS Office, CRM tool, GRS system, Cober portal tool and GRS Plan Sponsor/Plan Member website
Attention to detail and ability to review all work for quality assurance purposes
Demonstrated ability to thrive in a multi-tasking environment
Bi-lingual would be preferred but not required
Display creative thinking focused on finding solutions/efficiencies to unique needs and problems
