The Role

Mission:

Support the VTS Field Service and Service Sales teams by scheduling field service repairs of vacuum equipment, providing regular updates to the Field Service Manager and BLM. Initiate and follow up on quotes generated by the Service Sales team.

Order Entry – Equipment and Parts (30%)

Prepare and enter orders from sales team and customer

Coordinate sales documentation customer profiles, customer database

Maintain strong relationships with distributors, customers, OEMs and internal stakeholders

Service Scheduling (30%)

Receive incoming tasks for service of vacuum equipment and installation of new prime equipment.

Schedule all shop and field service jobs.

Work with the Field Service Manager to coordinate the activities of the Field Service team and maximize Field Service Engineer utilization.

Confirm service schedules with customers.

Serve as the information liaison between the Field Service Manager, Field Service Engineers, Sales, and customers – providing regular updates to customers regarding service that is in process.

Manage and control work in progress.

Report problems that Field Service Engineers are having to the Field Service Manager.

Service / sales Administration (30%)

Maintain (edit as needed) scheduled service orders in SAP and/or other systems (including both manual orders and service contracts).

Order, track, follow up and expedite parts as needed.

Ensure timely closing of open work orders once completed.

Submit Field Service job summary reports to customers upon closing of job.

Expedite invoicing once job is closed.

Track and file relevant paperwork.

Maintain an accurate and current log of open service jobs and a separate log of open service issues.

Facilitate subcontracting of field service and/or repair work to third-party service providers, including issuing purchase orders, educating customers on return process, expediting work, and ensuring unbranded or Atlas Copco-branded paperwork is utilized in return of equipment to customers.

Service Sales (10%)

Generate quotations for parts, service plans and various services as required.

Log and track own inside service sales activity.

Secure purchase orders for service work and verify terms and conditions with customers.

Ensure timely invoicing of orders shipped and jobs closed.

Proactive lead generation may be required.

What we expect of you?

Degree Level– High school diploma, some college preferred.

Minimum of 2 years relevant service coordination and/or dispatch experience.

Knowledge Areas:

Experience in dealing with a fast pace and complex working environment, coordinating and showing flexibility to change plans constantly and think ahead

Experience in working in a technical or support environment

Good analytical and planning skills

Strong knowledge of SAP

Experience with C4C, CRM, and Service Management Systems

Critical Skills:

Cope with pressure and maintain a positive working attitude
