Job Purpose

The Document Control Clerk is responsible for processing all packages for fabrication in a timely manner.

Responsibilities:
Displays a commitment to Waiward’s incident-free vision, values, and culture.

Understands all Document Control procedures and completes assigned tasks in an accurate and timely manner.

Reports system and issue package errors to Document Control Lead.

Ensures the ‘Issued for Construction’ packages received from customers are processed and the relevant parties (drafting, engineering, grating supplier) receive copies of drawings and documents.

Ensures approval packages are completed prior to placing on the KIP and sends to the client for approval, as per job notes.

Processes returns from approval packages, making sure the returned package is completed and approved codes have been marked in the drawings by the client.

Updates the system and ensures the approved package is distributed to the correct detailing team.

Processes fabrication packages, making sure the package is completed, including camdata, and placed on the KIP as well as distributed to Document Control Lead for further processing.

Handles shop issue and load list bolt packages via Steelworks using IMS reports and provides to procurement for processing.

Ensures that bought items are shop issued and provided to procurement for processing.

Ensures for your use packages are complete prior to placing on the KIP and sending to the client for verification that returned approval corrections have been made;

Prints bid packages for Drafting, Estimating, and/or Contracts if/when requested.

Checks the drawing registers that come with the packages to ensure the package is complete and in Steelworks.

Transfers files from the Waiward FTP site to the KIP into required folders.

Prints drawings in blue and white copies via KIP or Bizhub machines in size needed for shop.

Checks to make sure the material in Steelworks coincides with the material on the shop drawings.

Issues drawing transmittals to the shop, painting or field, as required.

Uploads drawings to FTP sites and distributes hard copies as required by the job notes.

Enters drawings manually such as grating, bolts, plain material and subcontracted jobs when required.

Completes revision packages.

Ensures that excel spreadsheets for recording shop issues, field issues, and other DC processes are filled out on time and appropriately for record keeping purposes.

Assists with any other duties in Document Control as time permits.

Sort blue prints for shop according to weekly and daily shop schedule;

Completes cut sheets or production sheets for quality assurance department as they are received, ensuring that they are completed promptly, efficiently, and correctly.

Provides load lists and sorts all jobs and divisions that are on the shop schedule for the week.

Assists Detail Foreman, General Foreman and Lead Hand with getting the prints to the shop for daily and weekly schedule and updates load list and drawings for shop foremen.

Delivers drawings to Waiward Main office for dally/ weekly schedule on timely manner.

Qualifications:
High school diploma is required

Relevant work experience is an asset including familiarity with programs used in DC

Computer literacy and knowledge of computer applications including Microsoft office is required.

Ability to read and interpret drawings

Detail oriented

Working Conditions

The incumbent is required to work in an office environment with moderate noise. The job may require the incumbent to walk stairs; be outside in inclement weather (slippery surfaces and cold); carrying objects, driving and being exposed to normal office routines.

Physical Requirements

The incumbent is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal for extended periods of time; and extensive reading. The incumbent is also required to stand and sit for extended periods of time.
