The People, Culture and Workplace Directorate are currently searching for the next integral member of the team to join us as an Executive Assistant providing essential support to the Executive Director People, Culture and Workplace. The Directorate consists of a number of teams and functionalities from People and Culture through to WHS & Wellbeing, Organisational Risk and the transformation of the workplace. The teams are diverse with varied backgrounds and experiences, but all have a dedicated commitment to City of Parramatta and its employees.

About the role

The position of Executive Assistant will see you providing vital support to the Executive Director People, Culture and Workplace. You will utilise your exceptional organisational and time management skills to oversee the Executive Director’s schedule, emails, administration, meetings and other commitments.

Your substantial experience in providing support at an executive level along with your advanced negotiation skills will be trusted when scheduling meetings and offering alternatives to stakeholders both internal and external to the organisation.

On a daily basis you will:
Provide essential services to the Executive Director through diary, email and agenda management as well as the organisation of working papers and minute taking at meetings

Coordinate monthly reports imperative to the continued growth of Council

Prepare correspondence, surveys and reports that are often of a sensitive and confidential manner

Manage senior stakeholders through negotiation, administration, and collaboration

Coordinate team engagement support by arranging new starter check ins on behalf of the Executive Director

Liaise with the People, Culture and Workplace leadership team to support the smooth running of the Directorate

Undertake cross-skilling opportunities through involvement in projects across the Directorate

About You

As an experienced Executive Assistant, you will have previous experience in providing support at a Senior Executive level as well as project management experience and the proven ability to effectively engage with various levels of internal and external stakeholders. You will have demonstrated conflict managements skills and the ability to work within a complex and multi-functional environment. You will also have:

Highly developed written and verbal communication skills

A flexible work ethic and time to meet varying workload demands

Demonstrated experience in business and customer liaison and relationship management

It would be preferred but not essential for applicants to have:

Local Government experience

Qualifications in relevant field

The ability to lead and drive operational and council wide initiatives and projects
