Job Description

To provide comprehensive and proactive EA assistance to ERM CVS Partner, supporting with a variety of direct assistance to their individual work as well as PA and Admin duties as required.

Providing full diary management

Meeting and call organization, including documentation, agendas, excel spreadsheets and presentation material as well as meeting attendance, taking and distributing minutes and managing progression of agreed actions

Proactively and effectively managing email correspondence (reading all emails, responding, deleting and archiving where appropriate).

Management of operational electronic folders of Partner

Draft, amend and distribute, communications on behalf of the Partner, with the appropriate tone for the intended audience as well as proof-reading communications which the Partner has drafted before circulation

Representing the Partner within ERM CVS and ERM including managing internal relationships. Creating good working relationships with senior leadership team and other senior members of ERM and their administrators

Administering personal expense claims, corporate credit card claims and invoices

Organizing travel and accommodation arrangements including any necessary visas/permit applications.

Organize and coordinate personal matters for the Partner as and when they arise

Maintain, update and extract reports on operation databases including SUBS and Avetta (sub-contractor database), Travel Risk Assessments.

Act as the IT Team Network Administrator

Act as a conduit for capturing update material both for external use (website, LinkedIn etc.) as well as internal communications (CVS Noticeboard etc.)

Recording hours of Partner for project work, non-billable work and leave on internal time management system – GMS

Key experience:
Strong EA/PA experience within a professional services environment is essential

Able to demonstrate previous experience of supporting senior level individuals

Experience and proven ability in building excellent relationships with senior managers, demonstrating a strong client service focus and ability to build a network of contacts, both internally and externally

Familiarity working with brand visual identities, house styles and ISO Quality Management procedures

Strong knowledge and ability with MS Office Suite programs (MSWord, Excel, PowerPoint, and Outlook). Working knowledge of databases and maintaining on-line shared systems

Excellent eye for detail, ability to think through tasks, forward plan and anticipate ahead of current tasks

Proactive in approach to work, self motivated with a drive for results

Excellent planning and organizational skills with proven ability to effectively prioritize whilst being responsive in dealing with high volume and/or complex tasks

Flexible and able to work well as part of a small team; a self-starter who works well under pressure and can provide excellent support remotely as required

Resourceful, with a positive and professional attitude; highly skilled in using discretion with regard to confidential matters

Willing to take on additional responsibilities when required

Ability to adapt within a fast-paced environment with individuals from a wide variety of countries and cultures

Strong interpersonal and verbal and written communication skills

Can interface smoothly and effectively with all levels of stakeholders; able to build a solid rapport with other consultants and team members in an effort to support and increase interdepartmental cooperation

Has the ability to work independently, successfully prioritize and manage multiple tasks simultaneously as well as one’s own time and the time of others

Has the ability to deal with challenging behaviors and conflicting priorities as necessary
