Here’s what you will do as part of the team:
Provide financial and administrative support to the Director, Finance and the Finance management team, including coordinating and monitoring the finance branch and corporate cost budget;
Provide input into annual budgeting process and input budget information into SAP financial system;
Examine and process all expenditure documents, including preparation of purchase orders for requisition of office supplies and equipment, as well as timely payment of department invoices and bills, ensuring compliance with relevant policies and procedures;
Facilitate contract approval process by coordinating with the Finance team to perform all necessary due diligence and investigation, and liaising with Procurement and the other departments to provide all other requirements on a timely basis;
Respond to routine enquires either verbally or in writing using discretion in the release of information;
Prepare letters, reports, presentations, tables, and other documents in a professional manner according to specifications and adherence to MPAC standards, including ensuring confidentiality and security of material;
Proofread and edit all materials keyed (e.g. Board Reports, policies, etc.) to ensure accuracy and adherence to corporate standards, ensuring deadlines are met;
Assist with maintaining the Director’s and department’s calendar and other administrative duties, including scheduling meetings, arranging room and equipment bookings, attending to other meeting logistics, maintaining documents and records, attending to phone calls, tracking deadlines;
Maintain and process new purchasing and corporate credit card applications, cancel/suspend cards, updates/changes, activate on-line accounts, reset passwords, maintain cardholder files, resolve issues, follow up on delinquent payments;
Prepare quarterly reports and spend analysis for management, using the vendor’s online system and recommend card holder limit changes;
Complete random audit checks on credit card statements and receipts, and investigate and report any discrepancies to the Director, Finance; and
Train users on vendor’s online system and provide assistance and respond to users.
Here’s what you will need to succeed:
At least 5 years of administrative and clerical experience supporting management;
Good organization and time management skills, with the ability to pay great attention to detail and work under pressure;
Ability to work independently and use good judgement and decision making skills;
Proficiency in MS Office suite applications: Word, Excel, Outlook and PowerPoint;
Business professionalism, and the ability to exercise tact and diplomacy when dealing with enquiries and handling confidential matters; and
Strong oral and written communication skills, strong team work, team/customer service orientation to deal effectively with senior officials, staff, suppliers, and the general public.
Nice to have:
Completion of a college diploma or university degree in Administrative studies or related field; and
Excellent knowledge of budgeting, financial and purchasing processes.
