About the role

We are seeking an Administrative Assistant to support and manage the daily workflow for 2 leaders in GapTech, as well as provide general support and assistance to their teams. You will play a key role on the teams, organize meetings and events as necessary, and help facilitate agendas for team meetings. You may also assist as needed in the development of presentations in PowerPoint and Word, pulse surveys, analyzing and presenting results. Other responsibilities including special projects as required increasing the professional effectiveness and efficiency of the leader and the overall team. An ideal candidate is responsive, thoughtful, self-directed, positive, and seeking a challenging role. The ability to effectively work with remote business partners and across different time zones is essential.

What you’ll do

Manage calendars to maximize efficiency and schedule meetings with internal and external business partners.

Work with leader or chief of staff on planning agendas for weekly, monthly and all hands/town hall meetings Arrange onsite and offsite meetings and events as necessary:

Coordinate scheduling and logistics (coordinate conference rooms, equipment and catering as needed) creating agendas and providing documents and other meeting materials as necessary.

Stay abreast of organizational changes; maintain accurate department organization charts, phone lists, email & voicemail distribution lists.

Manage new hire/contractor set-up including procuring equipment, badges and ensuring workspace is set-up.

Develop strong partnerships with all levels of internal and external business partners. Including alignment with other Administrative Assistants as well as with the function’s chief of staff strategy goals

Covers for other Administrative Assistants during PTO to ensure smooth coverage to support other leaders, departments and functions.

Who you are

7+ years administrative experience required; Demonstrate professionalism and ability to maintain highest level of confidentiality; Able to think independently, be proactive and take initiative.

Results oriented and ability to work in a fast-paced, ambiguous environment;

Excellent verbal and written communication skills; Strong interpersonal/people skills; ability to establish and build partnerships with all levels of management and business partners as well as strong customer service skills, strong problem solving, multi-tasking and follow up skills.

Exceptional time management, prioritization skills, and an ability to be flexible in reprioritizing.

Excellent organizational and follow-up skills with attention to detail; Able to handle multiple tasks/projects, concurrently, with tight deadlines.

Strong computer skills on the Microsoft Office Suite including Outlook, Word, Excel, PowerPoint, etc.,

Experience with meeting set-up and coordination via Zoom, Teams and other collaboration tools.
