General Purpose:
Handles numerous administrative matters for the Firm, the Director of Human Resources, and the Human Resources Department.

Essential Duties/Responsibilities:

Codes HR and Benefits invoices for approval by the Director of Human Resources and the Manager of Benefit and Compensation, running reports as needed to reconcile reports in the HRIS and carrier websites to reconcile and provide payment information. Coordinates with A/P to ensure timely payment.

Reconciles and codes the HR credit card and employee business credit cards for processing by Accounts Payable.

Maintains, through filing, the personnel and benefit files for administrative staff, including hard copy and electronic files. Facilitates the shipment of terminated employee files off site, in coordination with the Records Department

Completes Forms I-9, verifies I-9 documentation, and processes forms through the E-Verify system.

Prepares, maintains, and tracks tuition reimbursements, payroll advances, seminars, and employee referral requests for reimbursement. Obtains the necessary approvals for submission.

Processes and distributes the mail addressed to the Human Resources Department. Opens and determines where mail should be delivered if specific recipient is not noted.

Maintains the Human Resources files, supplies, and firm-wide labor law posters.

Organizes and distributes anniversary and retirement gifts for office employees as requested. Coordinates logistics and communications for anniversaries and retirements.

Coordinates employee events such as staff appreciation and new hire breakfasts.

Assists the department with administrative needs, including travel, calendar and expense management.

Provides customer service to firm employees via telephone and in person, often directing them to the appropriate resources, including monitoring the Human Resources “in-box”.

Schedules conference rooms and catering for meetings.

Compiles HR Agenda for biweekly HR meetings, takes meeting minutes, and sends minutes for review.

Responsible for daily reconciliation and tracking of COVID testing. Approves Covid-19 test and vaccine records in the UKG system.

Orders, manages, and distributes Covid-19 tests, processes expense approvals for clinic tests, and works with office managers on replenishing stock.

Forwards EAP & Wellness communications from Health Advocate to the Firm.

Stocks and distributes offices with up-to-date benefits materials and flyers.

Provides backup support to process and approve Monday timecards as needed.

Assists the HR team with HR projects and initiatives, as requested.

Job Qualifications (Education, Experience and Certification):

3 to 5 years’ experience as an administrative assistant, preferably in a human resources of finance department.

Working knowledge of Microsoft Suite and excellent knowledge of Excel.

Requires strong organizational and analytical skills to handle multiple projects and deadlines.

Requires strong oral and written communication skills in order to interact effectively with a wide variety of people.

Requires high degree of professionalism and strict adherence to confidentiality and other firm policies.

Excellent interpersonal and customer service skills.

Ability to handle multiple projects and prioritize appropriately.

Excellent attention to detail and accuracy.
