Full Time Intake Coordinator

Our Intake Coordinator is a critical role that provides the first touchpoint for prospective clients seeking mental health care at our Center. It is a critical role that provides a link between clients and our DBT therapists. Beyond that, you’ll get to wear multiple hats as you help with everything from intakes, scheduling, coordinating appointments with therapists, and marketing our services. This role is dedicated to supporting 15+ therapists, so you’ll have a huge impact on our business and the experience our clients have as they engage with us.

Intake Coordinator Job Duties:

  • Receives and processes all requests for services within 30 minutes of being received
  • Is the first point of contact for incoming referrals
  • Completes internal referral form with appropriate demographic information
  • Distributes referrals to therapists for appropriate assignment and scheduling
  • Puts the referral into the electronic records system, Simple Practice
  • Check our electronic records system, Simple Practice, to get updates on referrals to provide support and follow up
  • Manage referrals primarily through the Zoho platform
  • Manage referral projects through the Asana platform
  • Send therapists bi-weekly reports to get updates on referrals
  • Follows up with the therapists to make sure the referral has been contacted
  • Answers inquiries from both the referral and the therapist
  • Ensures that referrals complete all required paperwork
  • Support the therapists as the referral transitions to being a client
  • Network with higher-level care providers (residential IOP, etc.)
  • Hold a weekly meeting with the general manager to provide updates
  • Helps fine tune the referral process
  • Performs other duties and activities as deemed necessary
  • Collaborates appropriately with the therapists, general manager, bookkeeper, and staff
  • Demonstrates teamwork and effective communication to accomplish the Center’s and referral/client goals
  • Performs job in compliance with Center policies and procedures with professional standards


  • Highly organized with meticulous attention to detail

  • Exceptional communication and customer service skills
  • Ability to handle confidential information
  • Experience with Google Drive
  • Experienced with project management tools (we use Simple Practice, Slack, Asana, Zoho)
  • Experience working in a healthcare setting
  • Experience with sales and tracking conversion rates

Terms of employment

  • A full-time employee 40 hours per week (Monday-Friday 9am-5pm PT)
  • Confidentiality agreement is required for work with client files
  • Compensation is competitive, based on recent experience
  • References are required for this position

The DBT Center of Marin is an evidence-based therapy practice for individuals and families. Our center provides adherent individual DBT therapy, DBT skills group, and couples therapy in a private practice setting. We are a group of therapists dedicated to providing the highest quality, evidence based, and mindful therapy. We’ve been in business for over 20 years serving Bay Area clients from our Marin based offices.

Job Type: Full-time

Pay: $17.00 – $20.00 per hour



  • High school or equivalent (Preferred)


  • Customer Service: 3 years (Preferred)
  • Computer Skills: 5 years (Preferred)
