Primary Purpose of the Position



The position of Administrative Support Specialist within the Office of Information Technology provides office management support, internal HR support, office scheduling, and internal/external communications and correspondence between IT personnel and various campus personnel and vendors who work with the Office of Information Technology.

The position is the primary point of contact for all visitors coming into the department and handles initial primary communication with those entities. This position manages departmental travel/training requests, participates in scheduling of the IT conference room functions, and manages the office supplies and materials used by the department. This position will work closely and coordinate with other university departments such as required to support the mission of the Office of Information Technology

This position will assist the IT Budget Officer in preparing any necessary communication documents needed to represent the department.

This position will work with University HR personnel to prepare and execute PBA’s, and other associated HR documentation for the Office of Information Technology.

The position will work with the IT Budget Officer regarding office management duties, office materials ordering and inventory, office scheduling, and office reception duties.

The position will work along with Technology Support and Helpdesk personnel in providing correspondence and communication support to campus users regrading level one events and escalation.

Primary Function of Organizational Unit

The mission of the Office of Information Technology is to support and strengthen the academic, administrative, and associated research needs of all faculty, staff, and students at Winston Salem State University through the provisioning, support, maintenance, availability, and outreach of Information Technology Services. Information Technology Services serves the faculty, staff, and students by facilitating the enhancement of student development and services, teaching and learning, research, outreach and administrative operations through technology.

The Office of Information Technology provides centralized technology support, execution of technology standards, adoption of technology methodologies, collaboration and centralization of systems, guidance and directives of new technologies, provisions for best practices, and leadership and coordination of technology initiatives to support the faculty, staff, and students at Winston Salem State University.

The administrative Support Unit within the Office of Information Technology provides internal Office Management, Internal HR and Budget Management, office scheduling, and external office communications to university personnel and vendors that work with Office of Information Technology.

Minimum Experience/Education

High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.

Preferred Years Experience, Skills, Training, Education

Minimum Three (3) years experience in Office management, administrative support, event scheduling, departmental communication, and office reception required.

Demonstrated experience and skills in personnel management documentation, office inventory, and vendor communication in an education or University environment highly preferred.

Excellent customer relation skills, oral and written communication, and phone support skills highly preferred

Knowledge of administrative support in a technology department desired.
