Title: Job Cost Coordinator

WHAT YOU WILL DO:

Provide day-to-day financial tracking, management, analysis, reconciliation, data entry and reporting, including but not limited to the following:

Prepare monthly owner and bank draws

Gather and process all subcontractor payment applications and vendor/supplier invoices

Coding, routing, sorting, and filing all job cost documentation

Researching statements and prior payments

Process and release checks

Collect lien waivers and back up requirements

Create sub-tier lien waivers

Create and maintain lien waiver logs

Create and maintain subcontractor/supplier logs

Input and/or update vendor payments into TimberScan

Manage and update subcontractors’ schedule of values in Textura

Update direct costs into Procore

Create job cost reports as needed for forecasting, draws, analysis, variances, etc.

Assist in managing project cash flows, pre-draws, and cash sheets

Create and manage all job cost files consistent with company template

Independently lead and perform other functions and special projects as assigned

Assist with audit requests (job cost, sales tax, use tax, etc.)

Assist with providing contract administration support, including but not limited to the following:

Prepare, process, and disseminate all subcontract agreements, schedule of values, purchase orders, change orders and back charges

Maintain the authorized signer list for each Subcontractor

Manage and setup new vendors

Gather, monitor, and input insurance information

Coordinate with Subcontractors to ensure proper insurance certificates are maintained

Assist with transferring utilities to ownership or property management

WHAT YOU WILL NEED TO SUCCEED:

General knowledge of the real estate and development industry

Effective organizational and time management skills

Excellent verbal and written communication and listening skills

Ability to work in both a team environment and independently with minimal supervision

Accurate and detail oriented

Self-starter with strong organizational skills

Strong service orientation to internal customers

Strong interpersonal skills with the ability to interact and relate effectively, productively, and positively with other Associates

Dependable, punctual, and reliable

Typing and data entry skills

Ability to use a 10-key calculator accurately by touch

Proficient in Word, Excel, Outlook, Procore and other relevant programs

Ability to have flexibility with working schedule based on business and deadline needs.

Ability to work a schedule during normal work hours and that may be other than Monday-Friday, 8-5. Work in excess of 40 hours per week is likely.

Consistent, regular and in person attendance during regular working hours at the workplace is required.
