This position provides the “first impression” of our office and is vital for the smooth-running of our business. Responsibilities include receiving and directing clients, fielding calls, and coordinating all office activities while providing administrative and clerical support to management.

Position Details:

Essential Functions:

Greet clients and other visitors in a courteous and highly professional manner and notify employees with whom they are meeting.

Screen, prioritize and route incoming telephone calls.

Monitor general company Outlook folder and forward messages as appropriate.

Keep reception, conference rooms, kitchen, and other public areas neat and organized; manage coffee and weekly kitchen supply orders.

Arrange for catering services as requested and coordinate set up.

Help plan and manage internal and external company events.

Maintain and update important company reference lists.

Monitor and maintain office supplies.

Enter/update data in CRM and proprietary data systems with high accuracy and timeliness.

Assist other teams with projects or on-going assignments, pro-actively seeking to provide support and capacity.

Provide back-up coverage for advisory administrative assistant.

Provide back-up coverage for finance with expense reports and billing.

Provide back-up coverage for production duties, including client performance report preparation, collation, and shipping; postage meter management and employee usage support; UPS shipment management; and supply ordering and stocking.


Minimum 5 years relevant work experience is required, preferably in a professional office setting.

Must be personable, warm, engaging, and possess a client-first attitude. Polish and professionalism are essential.

An excellent command of the English language with clear enunciation is required.

Dependability in attendance is required.

Working knowledge of Microsoft Office is required, along with a willingness and ability to learn other systems and software programs. Experience with CRM and/or expense software preferred.

Experience handling a busy multi-line telephone and other office equipment required.
