BCIT Foundation is seeking a regular, full-time Receptionist/Administrative Assistant within the Advancement department. This position is responsible for the day-to-day operations of the Advancement Division reception and is the first point of contact for donors, alumni, prospects, internal and external stakeholders. This position provides receptionist support for the Advancement Division with exceptional customer service. The receptionist maintains the directors’ schedules, coordinates and attends meetings as required and provides a range of administrative assistance to the Directors and the Advancement Division in support of divisional goals and objectives.

Duties & Responsibilities

DUTIES AND RESPONSIBILITIES:
Greets visitors, answers telephone and email inquiries, refers inquiries to the appropriate person in the Advancement Division or the BCIT community.

Processes, arranges and distributes incoming and outgoing mail and couriers.

Maintains upkeep of the reception area to support the delivery of exceptional customer service.

Prepares daily cheque log for donations received and supports gift processing procedures under the direction of the Manager, Advancement Systems.

Undertakes various office duties including photocopying, specialty printing, ordering and distributing materials, and delivering/retrieving materials and other items as required.

Manages schedules for directors and ensures that pertinent documents and details are brought forward in a timely manner.

Provides event and meeting support including room bookings, catering requests, technical support and the preparation of various meeting materials as required.

Inputs and updates data into fundraising database and assists with maintenance of accurate donor records including creating new constituent records, actions, proposals.

Coordinates departmental service requests (i.e. Facilities, Security and Logistics) as required.

Reconciles and prepares Visa and travel expense claims.

Provides administrative support to directors and managers as required.

Provides backup office administration as required including ordering office supplies and managing IT requests.

Maintains and updates policies and procedures for Reception responsibilities that facilitate the effective day-to-day operations of the Advancement Division reception.

Participates in Records Custodian training and remains current with record keeping practices, policies and procedures (both BCIT and FOIPOP).

Undertakes related duties as assigned, consistent with the job grade for this position.

Qualifications

QUALIFICATIONS:
Grade 12 completion, plus additional specialized training of up to 6 months in administration or business office-related courses.

Two years’ general experience plus 6 months’ current relevant experience in a similar position.

An equivalent combination of education and experience may be considered.

Demonstrated intermediate Microsoft Office skills (Word, Excel, Outlook, PowerPoint).

Demonstrated competency in database and/or customer relationship management (CRM) systems.

Experience with Raiser’s Edge Fundraising Database System

Excellent interpersonal skills with effective written and verbal communication.

Demonstrated effective listening skills.

Excellent organizational skills and attention to detail.

Ability to take accurate and effective meeting minutes.

Demonstrated typing speed of 55+ WPM.

Please note: These are the minimum required qualifications. This position is a dayshift position as defined in Article 14.1 of the Collective Agreement.

Salary Range Pay Grade 5; $44,100 to $47,568 per annum.

Additional Salary Information

Salary prorated based on percentage and term of appointment.
