With this position, you would be joining a dynamic administrative team who directly facilitate and support the advancement of research, education, and knowledge translation in obstetrics and gynaecology, from a local to a global perspective.

As the Residency Program Assistant, you will work collaboratively to support Canada’s largest and most prestigious residency program in obstetrics and gynaecology. Serving as the primary point of contact, you will respond to all residency program related inquiries for a variety of stakeholders, including approximately 75 residents. You will liaise with trainees and faculty to coordinate program activities, assist with the execution of events and provide a wide array of program support. Your outstanding organizational skills and clear and effective communication skills will contribute to the ongoing success of the residency program.

Your responsibilities will include:
Providing detailed information to residents on program and/or course requirements

Scheduling appointments for faculty members and prospective and current students

Responding to enquiries within the defined scope of the role and redirecting to other staff members or faculty as appropriate

Writing routine documents and correspondence

Supporting committees including the Residency Program Committee with scheduling, committee meetings and coordinating agendas, materials and action items

Determining logistical details and activities for various events and programming (i.e. weekly Academic Half Day sessions)

Updating and maintaining resident records and generating reports

Qualifications:
Essential Qualifications:
Advanced College Diploma (3 years) or acceptable combination of equivalent experience.

Minimum two years of related administrative experience in an academic or healthcare setting would be preferred

Experience providing front-line customer support

Experience providing academic program support/ administration

Experience with supporting committees (i.e. taking and distributing minutes, coordinating agendas and meeting schedules)

Demonstrated experience handling multiple projects with competing deadlines

High proficiency with Microsoft Office suite (Excel, Word, PowerPoint and Outlook)

Exceptional oral and written communication skills

Ability to work under pressure and set/balance competing priorities

Demonstrated ability to work independently, showing initiative and good judgement, while also working cooperatively as an effective team member

Effective project management skills with excellent prioritization and time management

Assets (Nonessential):
Experience with POWER, SharePoint and/or Quercus
