Resources Administrator Job in South Kensington at Imperial College London –

The Dyson School of Design Engineering is the 10th and newest engineering department at Imperial College London. The School brings together traditional engineering disciplines with areas such as behavioural science, design thinking, ethics, and business model innovation, to foster creativity and rigour in a single engineering discipline. The School is unique in its delivery of joint degrees with the Royal College of Art.


The Resources Administrator role in the School requires an experienced, highly competent, and enthusiastic individual with a diverse set of skills. The successful candidate will take a lead role in supporting and coordinating the departmental resources and provisions and will assist in a wide range of operational needs in the department. You will provide a good level of service to a breadth of activities, e.g., in the building and estates management, purchasing, the teaching and research mission, events support, and in the support of the professional services team.

The post involves a high level of interaction with staff at all levels as well as students, thus requiring a professional approach with a friendly and welcoming manner. You will work in concert with the main internal stakeholders, such as the senior management, the School Teaching Office, various programme leads, the research groups and academic staff. It will be essential to employ and maintain robust customer relationship management (CRM) tools, inventories and databases and observing the necessary security and privacy protocols, as well as College wide policies.

We are looking for a proactive, innovative and independent individual, able to work under their own direction and as part of a team.

Duties and responsibilities

Key Areas of Responsibilities:
Building, estates and project support

Purchasing and finance administration

Inventory, databases and record administration

Desking, access and ICT organisation

Supporting the department in its events, teaching and research requirements

Essential requirements

A degree, or equivalent professional experience

Experience of managing space and buildings

Experience of managing databases and data in formats that can be manipulated to provide management information and reports

Experience of managing a customer-focused service

Strong IT skills (e.g. Microsoft Excel incl. formulae, functions and analysis, databases, SharePoint, electronic finance systems, Microsoft 365)

Excellent analytical and technical problem-solving skills

Creative approach to problem solving

Must be able to negotiate and mediate with staff at all levels and external customers

Excellent organisational and time management skills with a methodical approach to responsibilities and attention to detail

Excellent verbal and written communication skills with the confidence and diplomacy to interact with all levels of staff and with students

Ability to convey complex information to a wide range of people

Ability to work well under pressure with minimal supervision, to multi-task, to prioritise workflow independently, to work to deadlines and show initiative

Ability to develop and apply new concepts

Flexible and cooperative in their approach to their duties, and happy to work as part of a team

Ability to develop good working relationships with external third parties and others

Innovative, dynamic and able to demonstrate a proactive approach

Ability and willingness to develop new skills

Ability to work flexibly particularly when deadlines need to be met e.g. to meet deadlines and when organising large meetings

Ability to work well under pressure, prioritise workflow independently and show initiative

Ability to pay close attention to detail

Ability to work independently and as part of a team
