Hours of work are Monday to Friday, daytime hours and extra hours may be required on occasion to meet workload demands.

WHAT YOU’LL DO:
The Administrative Assistant (AA) provides administrative support to the Director, Collaborative Practice, Quality & Ethics and the Collaborative Practice Team (Collaborative Practice Manager, Collaborative Practice Specialist, Clinical Nurse Educators, and Advanced Practice Nurses.). Additional support is provided to the Chair of Clinical Ethics and the Research Ethics Board, and the Director, Information Technology, Decision Support, Privacy and Health Records.

The Administrative Assistant responsibilities include arranging meetings, preparing reports and maintaining appropriate filing systems. The AA must have excellent time management and organizational skills, the ability to prioritize work, attention to detail and problem-solving skills, strong written and verbal communication skills, and the ability to multi-task. The AA must have the ability to communicate effectively with others at all levels of the organization, to develop positive working relationships within the Health Centre and with community partners, demonstrate analytical and conceptual skills, and provide leadership as appropriate.The AA must be proficient in using tools like MS Office (Excel and Powerpoint in particular).

WHAT YOU’LL BRING:
College Diploma in Office Administration and three years’ experience as an executive secretary/administrative assistant or an equivalent combination of education and work experience.

Previous experience in a hospital setting preferred.

WHO YOU ARE:
Excellent keyboarding skills (60 wpm) Thorough knowledge of office procedures

Excellent working knowledge of Windows, word processing, graphic, spread sheet and E-mail programs. (MS Word, Power Point, Excel, Outlook, Visio, SurveyMonkey)

Demonstrated experience creating and maintaining LearnFlex courses

Demonstrated experience developing surveys and utilizing survey development software Excellent organizational, problem solving and time management skills.

Excellent communication skills (written and verbal). Demonstrated analytical and conceptual skills.

Excellent interpersonal skills. Demonstrated leadership abilities.

Demonstrated ability to achieve goals and objectives within appropriate time frames. Demonstrated ability to work independently and as a team member.

Demonstrated ability to research information, analyze data and write reports. Demonstrated ability to maintain confidentiality.

Demonstrated excellent attendance record with the ability to maintain this standard
